Breaking Down the Vehicles Page
From your Dashboard, click on the Vehicles tab to the left. You should then see a table set up like the one below, displaying all of your active trucks:
There are several columns here that give specific information about each of your trucks:
- Vehicle: These are the truck numbers as you have assigned them in your third party ELD system (Omnitracs, XRS, PeopleNet, etc.)
- Reporting Profile: Reporting Profiles are a way of grouping together trucks/drivers within your account. Many accounts only have one (Default Reporting Profile), but if your trucks have been assigned to different profiles, that will show up here.
Click here to learn more about Reporting Profiles.
- Status: The status of your trucks will either be Active or Deleted, as discussed later in this article.
- Connection: Whichever ELD system each truck is drawing data from will be displayed in this column.
- Domicile: If a truck is assigned to a domicile/location within the FedEx Ground location group, it will be displayed here. This spot is left blank for trucks that are unassigned.
- Driver: If your ELD system is able to sync live driver data, a driver name will be displayed in this column.
📖Note: In most cases this column will be blank, since most ELD systems (including Omnitracs) do not sync live driver data.
- Last Location/Last Location Datetime: Displayed here will be the last location report our system received for each truck. This can be useful for quickly checking to ensure that each vehicle is at the correct location and that its reporting is up to date.
📖Note: You may not need to view all of the columns that are automatically displayed. To change which columns are displayed, click on Manage Columns at the bottom of the table.
You can then deselect any of the checked options and click Apply to save your changes.
Navigating Tabs
At the top of the table, there are three tabs labeled Active, Deleted, and Error:
Active
These are trucks that are marked as active in your third party ELD System. In other words, these are the trucks that are currently running trips and reporting data.
Deleted
Trucks under the Deleted tab are no longer active, but all their historical data is stored in Truckspy so you can access it at any time.
Trucks show up under the Deleted tab for a few different reasons:
- If a truck is removed from your ELD system, it will automatically be moved here.
- If a truck number is changed in your ELD system, the old number will appear in this section.
This may include vehicle serial numbers:
- If a truck is manually deleted (deactivated) in TruckSpy, it will be moved to this section.
Errors
When our system flags a data error from one of your trucks, it automatically stops processing data for that truck until the error is resolved. This could be caused by any number of things, including a gap in mileage or unrealistic velocity.
Whenever a truck throws an error, it will appear under the Active tab highlighted in red, as well as under the Errors tab:
There are two columns here labeled Error Message and Error Datetime which let you know what error was flagged by the system as well as when it occurred.
Vehicle Information Page
Selecting any vehicle in the list will bring up a page that gives more detailed information about that truck.
-
Vehicle Information:
- ID: This is the truck number as assigned in your ELD system.
- Status: As mentioned earlier, the status will either be listed as active or deleted. If you need to manually deactivate a truck, simply click Deactivate next to the status. The truck can then be found under the Deleted tab on the Vehicles page.
- Connection: The third party ELD system the truck is connected to is listed here.
- GPS Enforcement/Auto Fix GPS Issues: The GPS enforcement represents how strictly our system validates incoming raw data.
Ex: If GPS enforcement is set to strict and the data indicates that a truck traveled from TX to CA in 3 minutes, an error will be thrown.
It is recommended to leave these settings at Strict and true in most cases.
- Domicile Location: Indicates what domicile a truck is assigned to within the FedEx Ground group.
This spot can be left blank if a truck is unassigned.
Click here for more information on editing domicile/location numbers.
- VIN/Secondary VIN/Year/Make/Model: These are optional details that can be entered for each vehicle. To edit this info, click Edit in the top right corner of the Vehicle Information box and enter into the corresponding fields.
Click Save.
-
Vehicle Position:
This map displays the exact location of the vehicle the last time our system received GPS data. To see more detailed information about the truck’s location and its position history on the map, click Data View in the top right corner of the box.
Click here to learn more about Data View and how it can be utilized.
-
Reporting Profile History:
This box indicates which Reporting Profile the truck is assigned to and at when it was assigned. If the truck has previously been assigned to other profiles, there will be more entries listed here.
Click here for more information on editing Reporting Profiles.
-
Dwell Events:
Recorded here are instances where a truck arrived/departed a defined FedEx location.
The Location column specifies the domicile number, the Arrival/Departure Datetime columns provide the date and time the truck arrived at and left the domicile, and the Duration column indicates the total amount of time the truck was there.
-
Reports:
Here you can access the entire report history for each truck. This can be useful if you only need reports for a single vehicle instead of the entire fleet.
You can select different types of reports from the drop down menu, but IVMR will be selected by default.
To download a report, simply click PDF or EXCEL next to the week you need.
-
Odometer Adjustments:
Adding an odometer adjustment to a truck changes the mileage reflected on your IVMR reports as of a certain datetime.
Click here for more information on how and when to add an Odometer Adjustment.
⚠️IMPORTANT: Make sure to always keep your truck numbers up to date in your ELD system. This means keeping the correct truck numbers assigned to the correct ELD hardware. Not doing this will likely throw errors in our system.
