Listed here are the most commonly asked questions regarding the Truckspy Fuel Card program.
Q: What is the TruckSpy Fuel Card?
A: We've partnered with Wex Bank to provide a card that works at any location that accepts EFS/Wex. Since this is our proprietary fuel card, we can and have negotiated discounts with truck stops on your behalf that you automatically get access to on the card. The transactions on the card are automatically synced into your TruckSpy account. If you're a FedEx contractor, the transactions will also be sent to FedEx.
Q: What is the advantage of using this card?
A: The biggest advantage is that we've negotiated special fuel discounts at several large chains on your behalf. Currently, discounts in our network range from $0.25 - $0.80 off the major truckstop's average retail price. A secondary benefit is that these transactions show up in your TruckSpy account, automatically providing us with data to help automate IFTA and provide you reports with purchase efficiency.
Q: What is the cost?
A: The Card is Free. However, Wex charges a one-time setup fee of $75. The only fee is that you'll pay a $1.75 fee anytime you swipe the card to buy fuel. There are some other fees for other types of transactions described at the bottom of the application in the terms box. We recommend you take a look. There are special fees for cash advances and other similar requests.
The reason we are charging a $1.75 fee to buy Fuel/DEF is that we negotiated away most of the margin on the fuel, so the vendor is making us cover the interchange/card fees on the transactions. The 1.75 fee will allow the truck to buy diesel and DEF in one transaction and one fee.
Q: I'm a FedEx Contractor, can you explain how the payment works? Is it deducted from my settlement?
A: When you open an account, you will select a payment day. Wex bank will automatically deduct your fuel transactions from your bank account weekly. The transaction data is sent to FedEx so they can calculate your fuel surcharge correctly. You'll see the fuel transactions on your settlement, but no funds will be deducted from the settlement to pay for the fuel.
Q: How do I know where I should buy fuel for the lowest prices?
A: Once you are issued cards, a fuel optimizer will be available in your TruckSpy account that shows you real-time pricing at over 7,000 stations in the US and Canada. You can use this map to optimize where you buy fuel. Your drivers can download and install the Wex mobile app from the Android or iPhone app store. They will need to log in with their fuel card number, and then the app will show them fuel prices along their routes. Your drivers still receive their driver rewards.
Q: Can I put cash on the card or pay for maintenance?
A: Absolutely. It's your card, and you will get access to the card admin portal once your account is established. From there, you can set rules and policies for how the cards are managed and what they are allowed to purchase.
Q: Does this card work on FedEx yards?
A: No. You'll need to use your Tchek card to purchase fuel at the FedEx terminals.
Q: Where can I use the card?
A: The card will work practically anywhere a truck can buy fuel. So sometimes suggest stations that we don't have an agreement with but have abnormally low pricing that you can take advantage of. Once you sign up, you'll get access to our fuel optimizer which will show you pricing at all locations that accept the card. We’re happy to show you this on a screen share if you are interested in seeing it.
Q: What else should I know?
A: For the fuel transactions to be automatically synced to FedEx, you must have a MyGroundBiz connection in your TruckSpy account.
You also need to diligently manage your truck numbers. FedEx will match the fuel transactions to your truck numbers to calculate your fuel surcharges. So if you have a truck number purchasing fuel but FedEx dispatches that truck under a temp number, the fuel supplement will not be calculated. You must verify that the truck number attached to the fuel card is the same number FedEx dispatches under.
Q: Can I use this card for trucks outside the FedEx system?
A: Absolutely. If a truck purchases fuel and the number isn't in the FedEx system, the transaction data will automatically not be sent to FedEx.
Q: How do I get started?
A; The first step is filling out the credit app with Wex Bank. Here's the link: https://onlineservices.secure.force.com/creditapplication/OTRBOCA?pgm=TruckSpyFC
Be sure to completely fill out the application. Wex will either issue you an account and ship you cards in 2-3 business days or follow up with additional questions. If you don't want a credit relationship with Wex, you can select the box on the application to create a prepaid account.
Q: How do I use the Fuel Card?
A: Here are the basics:
1. Read and record your truck's mileage
2. Swap the card at the pump
3. Input Drive/Truck ID as prompted
4. Input Odometer
5. Fuel-up
6. Collect the receipt.
Information about your fueling transaction is sent to you on your monthly Wex Statement. This data is also sent to your Truckspy / MGB account, which is synced with FedEx.
Log in to Truckspy and select the Fuel menu option from the left. Selecting "List" will show your most recent fuel transactions.
Q: How do I order additional cards or increase my credit limit?
A: For the card order please email efs.am@efsllc.com
A; For the credit line increase please email Underwriting@wexinc.com
Q: I am using the Truckspy Fuel Card and I just received an extraordinarily high IFTA bill from FedEx. I thought I was saving money using your card.
A: We have seen issues where FedEx systems do not recognize the data coming in from Truckspy / Wex. You need to contact FedEx and dispute the sent invoice. FedEx will adjust the amount to reflect the reduced costs for fuel purchases.
Q: Do I have to stay with FedEx for doing IFTA?
A: No. FedEx gives you a quarterly option for opting out of their IFTA program. You can choose to do your own IFTA or to contract with a third party for assistance. You need to remove the FedEx-provided tags from your truck and return them to FedEx. You’ll then need to contact the DMV office in the state your company is registered to request new tags.
Q: Is there anything special I need to set up for IFTA reports and fuel supplements reported to FedEx?
A: The two reports you need to file IFTA are Quarterly State Mileage and Quarterly Fuel Quantity. If you go under "Reports" and select from the drop-down, you can enter your date range and truck number or the whole company. It will give you the option to download those in PDF or Excel format.
